Systems and SOPs — how do you document your process so it's not all in your head?
I've been running my brokerage as a one-person operation for 4 years and everything lives in my head. If I got hit by a bus tomorrow, nothing would get done. Starting to think about hiring and realizing I need to document my processes first. How do you all handle SOPs? What tools do you use?

Greta, I went through this exact exercise 18 months ago. Here's what worked:
1. Loom videos — I recorded myself doing every task once and narrated what I was doing. Much faster than writing SOPs and easier for new hires to follow
2. Notion for the written SOPs — each process gets a page with steps, screenshots, and links
3. Checklist for every deal stage (intake, submission, term sheet, underwriting, closing)
The checklist was the most valuable thing. It means nothing falls through the cracks even when I'm busy.

i just use google docs lol. nothing fancy. the important thing is writing it down, not the tool

The "hit by a bus" test is a good one. I did this exercise 5 years ago and it took about 2 weeks to document everything properly. Worth every hour. Simone's Loom suggestion is excellent — I wish I'd done that instead of writing everything out.
